Five Signals Your Monitoring Stack Has Outgrown Spreadsheets

Most renewable operators don't decide to outgrow spreadsheets โ€” it happens gradually, one new asset and one new tab at a time, until a Tuesday morning arrives where nobody is quite sure which version of the generation report is the current one.

We see this pattern across wind, solar, and hybrid portfolios alike. Below are the five signals we look for when a client asks us to assess whether their monitoring stack still fits the size of their fleet.

1. Reports take longer to build than to read

If your team spends more time reconciling numbers across tabs than acting on what those numbers say, the spreadsheet has stopped being a tool and become a job in itself. A monitoring platform should compress that cycle from hours to seconds.

2. Alarms arrive after the loss, not before it

Manual thresholds set once, in a cell, rarely get revisited as assets age or seasons change. Centralized alarm management with live thresholds catches degradation while it's still cheap to fix.

3. No two people see the same version of the truth

Once a workbook is emailed, copied, and edited independently by three regional teams, "the numbers" stop being singular. A shared, live dashboard removes the question of which file is authoritative.

5. Nobody can say what "normal" looks like anymore

Spreadsheets are excellent at storing numbers and poor at storing context. Historical trends, seasonal baselines, and component-level degradation patterns need a system built to model them, not a workbook built to display them.
